Why Every October, Event Agencies Call Us in a Panic — And How the Smart Ones Don't


I want to tell you about a pattern we see every single year at Mufubu.

From September to November, our WhatsApp and inbox fill up with a very specific kind of message. It goes something like this:

"Hi, we have a conference for 400 attendees in 3 weeks. We need branded backpacks with our logo. Can you do it?"

Or sometimes it's starker:

"Event is in 10 days. 600 sling bags needed urgently. Please advise."

I understand the pressure behind these messages. Event managers are juggling venues, catering, speaker logistics, AV, attendee registrations — and somewhere in the middle of all that, the merchandise brief gets delayed. Then it lands on someone's desk two weeks before the event with a "please handle this immediately."

We try to help. Sometimes we can. Sometimes the timeline is genuinely too short for the quality the client needs.

But here's what I've noticed about our best clients — the event agencies that work with us year after year: they call us in June.


India's Conference Season Has a Timing Problem

September through November is the heaviest event season in India. Tech summits, industry conferences, dealer meets, annual corporate offsites, HR conclaves, product launches — they all cluster into this window.

Every event that has 100+ attendees needs branded merchandise. Bags lead the list because they're functional, visible, and travel home with the attendee — your brand doesn't stop when the event ends.

The problem is that everyone in India's event ecosystem seems to discover this need at the same time: two to four weeks before the event.

Bag manufacturers have a reality that doesn't bend to urgency: production takes 15 to 35 days. Sampling before production takes another 3 to 7 days. Add shipping, QC, and buffer time, and a proper branded bag program needs at least 6 weeks from first call to delivery.

When an event agency calls us in mid-September for an October event, the math simply doesn't work — unless they're willing to accept whatever stock is available rather than what their brand actually needs.


What Happens When You Rush Merchandise

You get what's available, not what you wanted. Off-the-shelf bags in generic colours, minimal customisation options, standard hardware. Your logo goes on it but your brand identity doesn't.

Quality control gets skipped. In a normal production run, samples are approved, colour matching is verified, stitching and hardware are checked. When timelines are compressed, these steps get cut — and you only discover the problem when 400 bags arrive the day before the event.

You pay a premium for urgency. Rush production costs more. Air freight costs more. The same bag that would have cost ₹400 in a planned order can end up costing ₹600 in a panic order — and still arrive late.

You damage your brand without realising it. A conference bag with an uneven embroidery, the wrong Pantone shade, or cheap zipper hardware tells every attendee something about how much your organisation cares about the details.


The Case for Planning Your Conference Merchandise in June

The event is the same whether you start in June or September. The only thing that changes is the quality of the product you can get, the price you pay, and the stress you experience.

Sampling in June means approval in June. You have the physical product in your hands three months before the event. You can adjust the colour or the pocket layout. You can change your mind without penalty.

Production in July means delivery in August. Your bags arrive 6–8 weeks before the event. They're warehoused. The one thing you don't have to worry about in September is merchandise.

Budget approval is easier with time. "I need ₹3,50,000 approved for conference bags" is a much easier conversation in June than in September when it's an emergency request.

You can negotiate better. A planned order placed with sufficient lead time means better pricing, better material options, and time for production iterations. The urgency tax disappears.


Event Planning Calendar: June to September

June — Brief and Sampling
Lock the design brief: bag type, dimensions, branding method (embroidery vs. screen print vs. UV), colour. Get samples made in 3–7 days. Approve or iterate.

Early July — Production
Once the sample is approved, production begins. For a standard run of 300–1,000 bags, expect 15–25 working days.

Late July / Early August — Delivery and QC
Bags arrive. You inspect them. You have 6–8 weeks before the event to spot any issues and address them without panic.

September — Peace of Mind
While other event managers are frantically calling vendors, your merchandise is ready and warehoused.
